Every scan eliminates an error. Mobile warehouse management built for tobacco and vape distributors—scan-based receiving, FEFO-directed picking, real-time inventory updates, and warehouse accuracy that keeps customers happy and auditors satisfied.

The Cost of Manual Warehouse Operations

Paper pick tickets, clipboard counts, and manual data entry create errors that compound across your operation—mispicks, shrinkage, and inventory that exists only on paper.

Picking Errors

Wrong product shipped to customer

Wrong quantity in order

Old expiry shipped, fresh stock ages

Expensive returns and re-ships

Customer trust erodes with each error

Inventory Drift

Physical count ≠ system count

Product in wrong location

Receiving errors compound

Shrinkage hidden until audit

Can’t promise accurate ATP

Operational Drag

Walking to find product

Manual data entry after picking

Clipboard counts at month end

Investigating discrepancies

Training new pickers takes weeks

Real Impact

A regional tobacco distributor found that 3.2% of orders had picking errors before implementing barcode WMS. After deployment, error rate dropped to 0.08%—a 97% reduction. Customer complaints fell proportionally, and the time spent on credits and re-ships nearly disappeared.

Warehouse Workflows, Simplified

Every warehouse task—receiving, put-away, picking, counting, shipping—becomes faster and more accurate with mobile scanning.

Scan-Based Receiving

Receiving accuracy is the foundation of inventory integrity. Ximple’s mobile receiving validates every carton against the PO—before product enters your warehouse.
✓ Scan carton barcodes to validate against PO
✓ Capture lot numbers and expiry dates
✓ Photo documentation of damage
✓ Quantity variance alerts in real-time
✓ Blind receiving option for audit control
✓ Automatic label printing for internal tracking
✓ Immediate inventory availability update

Directed Put-Away

Don’t let warehouse staff choose where to put product—let the system direct them to the optimal location based on product attributes, velocity, and space availability.

  • System-suggested bin locations
  • Scan-to-confirm location placement
  • Velocity-based slotting (fast movers near dock)
  • Temperature zone enforcement
  • FEFO positioning for expiry control
  • Overstock to reserve locations automatically

FEFO-Directed Picking

The scanner tells pickers exactly where to go and which lot to grab. FEFO (First Expired, First Out) is enforced automatically—no training required, no judgment calls.
Pick list displays on mobile device
Directed to oldest-expiry lot first
Scan-to-confirm correct product picked
Wrong-product scan triggers alert
Quantity confirmation with each pick
Substitution workflow when out of stock
Batch picking for multi-order efficiency

Continuous Cycle Counting

Replace annual physical inventories with continuous cycle counting. Count small sections daily without disrupting operations—and maintain accuracy year-round.

ABC velocity-based count scheduling
Mobile scan-and-count workflow
Variance threshold alerts
Recount workflow for discrepancies
Supervisor approval for adjustments
Full audit trail of count history
No warehouse shutdown required

Branch Transfers

Moving inventory between branches? The system handles lot selection, expiry awareness, and documentation—ensuring accurate inventory at both ends.

Transfer request from any branch
FEFO-based lot selection for transfers
Mobile pick workflow for transfer orders
Scan-to-ship at sending location
Scan-to-receive at destination
In-transit inventory visibility
Variance handling for damaged/short shipments

Shipping & Verification

The last line of defense against mispicks. Scan verification at shipping confirms the right product in the right quantity goes to the right customer.

Scan-to-verify each carton against order
Weight verification optional
Carrier label generation
Bill of lading creation
Proof of shipment documentation
Real-time shipping confirmation
Customer notification triggers

Returns Processing

Returns need proper handling—inspection, disposition, and inventory update. The mobile workflow ensures returned product is processed correctly.

RMA-linked receiving workflow
Condition inspection with photo capture
Disposition codes (restock, damage, dispose)
Lot tracking maintained through return
Automatic inventory update by disposition
Credit memo generation triggers
Return reason analytics

Scan-Based Workflow, Dock to Dock

Every inventory touchpoint validated by barcode—eliminating errors at source.

Scan cartons against PO; capture lot and expiry

System directs to optimal location; scan to confirm

FEFO-directed picking with scan validation

Scan to verify contents match order

Final verification; carrier labels; inventory updated

Frequently Asked Questions

What devices work with Ximple WMS?

Ximple WMS runs on Android and iOS devices including purpose-built warehouse scanners (Zebra, Honeywell, Datalogic), consumer smartphones with camera-based scanning, tablets, ring scanners, and forklift-mounted terminals. You can mix device types within the same warehouse based on task requirements.

Does it work offline?

Yes. The mobile app caches work queues and operates fully offline. When connectivity returns, data syncs automatically. This is critical for warehouses with spotty WiFi or for route trucks without constant connectivity.

How does FEFO picking work in practice?

When a pick is released, the system identifies the lot with the earliest expiry date and directs the picker to that specific bin location. The picker scans the product to confirm—if they scan a different lot (fresher product), the system alerts them to pick from the correct location. This enforces FEFO without relying on picker training or judgment.

What happens if a picker scans the wrong product?

The scanner displays an error and won’t advance until the correct product is scanned. This prevents mispicks at the source rather than catching them at shipping or—worse—after delivery to the customer.

Can we use our existing barcodes?

Yes. Ximple reads manufacturer UPC/EAN barcodes on incoming product. For internal tracking, you can print labels with Ximple-generated barcodes that encode location, lot, and other attributes. The system supports 1D barcodes (UPC, Code 128, etc.) and 2D codes (QR, Data Matrix).

How do you handle blind receiving?

Blind receiving hides PO quantities from receiving staff—they must physically count and scan each item without knowing expected quantities. This prevents “expected count confirmation” errors where receivers simply confirm what they expect rather than what actually arrived. Variances are flagged for investigation before product enters inventory.

What about cycle counting vs. physical inventory?

Ximple supports both, but most customers move to continuous cycle counting. The system schedules counts based on product velocity (A items counted more frequently than C items), and warehouse staff count small sections daily using mobile devices. This maintains accuracy year-round without the disruption and expense of annual physical inventories.

Does WMS integrate with carriers for shipping?

Yes. Ximple integrates with major carriers (UPS, FedEx, USPS, LTL carriers) for rate shopping, label printing, and tracking. Shipping verification scans update both inventory and carrier systems simultaneously.

How long does implementation take?

For a typical tobacco/vape distribution warehouse, WMS implementation takes 4-8 weeks including device deployment, bin/location setup, workflow configuration, and staff training. We phase the rollout—often starting with receiving, then picking, then cycle counting—to minimize disruption.

What’s the ROI on barcode WMS?

Most distributors see ROI within 6-12 months through reduced picking errors (fewer credits and re-ships), improved labor productivity (faster picking with less walking), reduced shrinkage (better visibility catches problems early), and elimination of annual physical inventory costs. The reduction in picking errors alone often justifies the investment.
